Senior Administrative Assistant, Office of the CEO

Essential Duties & Responsibilities
The responsibilities of this position encompass typical and customary duties of an administrative role at the senior level including call, guest and mail handling; document handling (producing, copying, distributing, filing and retention); purchasing; requisition, invoice, expense report processing and credit card reconciliations; monitoring and preparation of assigned departments' payroll, tracking and ensuring that vacation and sick leave PTO is applied appropriately; manages Outlook calendars.
Provides assigned and back-up administrative support to Tribal executives.
Drafts and formats reports and correspondence for department heads' review based on established departmental or organizational practices.
Researches and drafts department's procedural documents and policy information.
Researches and prepares with accuracy and extreme attention to detail, information needed in compiling, tracking and analyzing complex statistical, financial and regulatory reports and business presentations as directed, including all supporting documents, tables, charts, spreadsheets, etc.
Assists in researching, planning and inputting budget information. Tracks budgetary items and updates budgets with new data and projections. Analyzes and recommends cost reduction opportunities and ensures expenses are within budgetary guidelines.
Prepares, uploads and monitors consultant, vendor and agency agreements through the legal contracts review program.
Coordinates hosted functions including facility reservations, travel arrangements, catering and meeting support set-up, cost tracking, participant communication and meeting attendance, materials production and distribution.
Interacts with internal and external business associates with professionalism, discretion and confidentiality.
Independently answers inquiries; researches as necessary in order to prepare responses on non-standard inquiries.
Assists with other clerical, administrative and support functions as assigned.
Education/Experience/Qualifications
High School Diploma required
Minimum five (5) years' experience
Must be able to type 60 wpm.
Must demonstrate excellent interpersonal skills.
Working knowledge of office equipment, such as a fax machine, copy machine, calculator and a personal computer.
Strong computer skills and comprehension of appropriate software packages, including but not limited to, MS Word, MS Excel, MS Access, MS PowerPoint, and MS Outlook.
Ability to coordinate several tasks at once and set priorities.
Must be a self-starter and enjoy working with people.
Must have excellent written and communication skills.
Demonstrated maturity and poise; ability to employ perfect discretion in sensitive situations.
Ability to handle sensitive and confidential information appropriately.
Certificates/Licenses/Registrations
At the discretion of the San Manuel Tribal Gaming Commission you may be required to obtain and maintain a gaming license.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
